We are committed to safeguarding your information with care, transparency, and respect. This Privacy Policy explains what information we collect, how it is used, and the steps we take to protect it.

By using Vocara, you trust us with meaningful parts of your life. We take that responsibility seriously.

1. Who We Are

Vocara Inc. is an Ontario, Canada corporation operating internationally. Throughout this Privacy Policy, “Vocara,” “we,” “us,” or “our” refers to Vocara Inc.

2. Information Processed Through the Platform

Vocara processes certain information in order to provide and operate the Platform. All information stored within your Capsule is kept secure and remains private according to the permissions you set.

A. Account Information

Information provided when creating an account, such as:

  • Name
  • Email address
  • Subscription and billing details

B. User Content

Content you choose to store within your Capsule, including:

  • Stories and written entries
  • Photos
  • Videos
  • Audio recordings (including voice recordings)
  • Documents
  • Legacy & Estate Map entries

This content is private to you and accessible only according to the permissions you establish. Vocara does not monitor or review Capsule content unless required by law.

C. Trustee Verification Information

If trustee access is requested, documentation may be submitted for verification purposes, such as:

  • Obituary
  • Death certificate
  • Additional verification documents as needed

This documentation is used solely to confirm eligibility for access and is handled securely.

D. Technical Information

Certain technical information is automatically processed to operate and secure the Platform, including:

  • IP address
  • Device type
  • Browser type
  • Basic usage data necessary for functionality and security

3. How Information Is Used

Information processed through the Platform is used to:

  • Provide and operate the Platform
  • Process subscription payments via Stripe
  • Verify trustee documentation
  • Maintain platform security and integrity
  • Communicate service-related updates
  • Improve platform functionality

Vocara does not sell personal information.

4. Sensitive Information

Users may include references to financial, legal, or health-related information within their Capsule.

However:

  • Account numbers, passwords, and authentication credentials should not be stored.
  • Vocara is not a password manager.
  • Users are responsible for the content they choose to upload.

5. Data Storage & Security

User data is stored using secure, professionally managed cloud infrastructure.

We use industry-standard encryption and security safeguards designed to protect information in transit and at rest.

While we implement reasonable security measures, no system can guarantee absolute security.

6. Data Retention

Your Capsule remains accessible as long as your subscription is active.

If you cancel your subscription:

  • Your Capsule will remain securely stored for three (3) months.
  • You may reactivate your subscription during this period.

If not reactivated within three (3) months, your Capsule and its contents may be permanently deleted.

7. International Data Transfers

Vocara operates internationally. Your information may be processed or stored in jurisdictions outside your country of residence, including Canada.

By using Vocara, you consent to such data transfers.

8. Payment Processing

All payments are processed securely through Stripe.

Vocara does not store or retain full credit card information. Stripe’s handling of payment information is governed by Stripe’s own privacy policy.

9. User Rights & Account Control

Users may:

  • Access their information
  • Update their account details
  • Download their content
  • Delete their account

These actions can be completed directly through your account settings within the Platform.

10. Trustee Verification

Documentation submitted for trustee verification is used solely for the purpose of confirming eligibility for access.

Such documentation is handled securely and retained only as necessary for verification purposes.

Vocara is not responsible for disputes between family members or third parties regarding access decisions.

11. Children’s Privacy

Vocara accounts must be created by individuals who have reached the age of majority in their jurisdiction.

Minors may participate in a Capsule under the supervision of a parent or legal guardian.

We do not knowingly collect personal information directly from minors without parental involvement.

12. Cookies & Platform Functionality

Vocara may use essential cookies and similar technologies necessary for platform operation, authentication, and security.

We do not use cookies to sell or trade personal information.

13. Long-Term Preservation

Vocara is designed for long-term digital preservation.

However, we do not guarantee indefinite or perpetual storage. Continued access to content requires an active subscription and remains subject to technological, operational, and legal factors.

Users are encouraged to download or export their content periodically for personal backup.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Continued use of the Platform after changes are posted constitutes acceptance of the revised policy.
